Frequently Asked Questions about Skimmer's integration with QuickBooks Online . . .

Does the integration work with Inventory products in QBO?

Yes. When an invoice is sent to QBO, the corresponding inventory count is automatically deducted.

Do changes in QBO update items in Skimmer?

No. Our integration is one-way, meaning data flows only from Skimmer to QBO.

How does customer matching work?

When a customer is created in Skimmer, the system follows these steps to match it with QBO:

  • Initial Sync:
The customer is sent from Skimmer to QBO.

  • Name Matching:

    • If the customer’s first and last names in Skimmer match QBO’s Display Name field, a match is flagged.

    • If the customer is set to “Display as Company” in Skimmer, QBO uses the company name for matching.

  • Address and Email Verification:

    • Skimmer compares the street address in QBO. A match will link the records.

    • If the street addresses do not match, Skimmer checks the email address. A matching email will link the customer records.

  • No Match Found:
If neither condition is met, a new customer record is created in QBO.

Will my old invoices be sent once the link is activated?

No. The sync only sends newly created invoices, so that the reporting of invoices is not duplicated.

When are my invoices sent to QBO?

Invoices and associated payment data are sent to QBO immediately after a payment is successfully recorded in Skimmer Billing.

How do I push items to QBO?

Once the sync is enabled, Skimmer automatically sends any new or updated item to QBO. There’s no need for manual intervention—each time a synced item is created or saved in Skimmer, it is automatically created or updated in QBO.

Will changes in Skimmer update QBO?

Yes. Any updates you make in Skimmer to customers, products, work order types, dosages, invoices, or payments will automatically be sent to QBO.

Why does the deposit amount in my bank account differ from the amount in Undeposited Funds in QBO?

Fees processed by Skimmer can cause a discrepancy between the bank deposit and the Undeposited Funds total in QBO. To reconcile this difference, we recommend reviewing the Payout Received Detail report in Skimmer to identify the fee amount and then manually record the fee in QBO, unless you choose to activate Skimmer's automatic Payout Sync.

When an invoice includes sales tax, does it map to a sales tax group in QBO, or does it simply appear as a line item? Will I still be able to run sales tax reports in QBO, or is that done solely in Skimmer now?

The sales tax collected on an invoice in Skimmer is sent to QBO as part of the invoice. QBO then applies its own services to categorize that sales tax. So you should still be able to generate sales tax reports in QBO.

What is the QBO Activity Log?

The QBO Activity Log monitors the synchronization process between Skimmer and QBO. It records the successful syncing of customers, invoices, products, and more. If an item (such as a product) fails to sync, detailed error messages will appear in the Activity Log within the QBO Billing integration section.

Why are there errors in my QBO Activity Log?

Errors indicate that certain items failed to sync. Common error messages will include guidance on the necessary fixes, while less common errors may require you to provide the batch ID to Skimmer Support for further investigation. To retry syncing, simply edit and re-save the affected item.
